University of Rochester Academic Administrator II in Rochester, New York

GENERAL PURPOSE:

With minimal direction and considerable latitude for individual judgement, serves as the Academic Programs Assistant for the Department of Psychology. Responsible for the administrative and program management functions of the Undergraduate program. Assists the Academic Director with Graduate program.

JOB DUTIES AND RESPONSIBILITIES:

Academic Program Support

  • Supports faculty in advising-related matters using information gathered from AEFIS, Blackboard, and intra-departmental analytics systems. In their role, they meet with undergraduate students independently to make data-driven suggestions on academic paths.

  • Gathers data on course schedules in the department, analyzes data to identify times/days that are over/underloaded, disseminates summaries to the faculty, and helps formulate protocols for scheduling future courses if areas of improvement are identified. Coordinates efforts to make identified changes through appropriate procedures with the Dean’s and Registrar’s Offices.

  • Represents the department at Advising Fairs, other university outreach programs, as well as external events. Creates informational materials for such events.

  • Oversees planning and execution of department’s graduation ceremony, including liasing with Commencement office and coordinating event staff.

  • Provides support for two student organizations: Psychology Undergraduate Council (PUC) and Psi Chi Honor Society. Coordiates Psi Chi qualification/invitation process. Organizes events for both student organizations. Advises student leaders.

  • Manages transfer and study abroad course equivalency evaluation process.

  • Provides support for honors research program, including end-of-year presentation event.

Course Scheduling & Support

  • In coordination with the Academic Director, assists with scheduling all undergraduate and graduate courses including times, locations, faculty, TAs, etc.

  • Troubleshoots problems in course implementation as they arise, including navigating complex TA assignments, ensuring offereings are spaced properly to facilitate academic progress, etc.

  • Works with faculty on the Undergraduate and Graduate Committees to project future courses, and summarizes projections into a Departmental Academic Plan.

  • Enters schedule into UR Student system, following Registrar’s processes and regulations. This entails creating analytics-driven projections of future enrollments based on departmental needs, growth modeling, and current trends in psychological science. The end-product of the projection is a summary presented to the faculty to help formulate departmental goals.

  • Identifies needs for adjunct faculty and coordinates recruitment with department chair and department manager.

  • Manages and maintains curricular sections of the departmental website. Maintains content throughout the academic year.

  • Holds weekly advising hours for undergraduate students. Summarizes and disseminates any areas of concern to the Academic Director.

Analytics-Driven Advising & Program Oversight

  • Interfaces with and disseminates information to the Chairs and College Deans’ Offices on Policies and Procedures related to the undergraduate programs in psychology. This entails collecting data (e.g., AEFIS), analyzing data to identify areas of strength/need, and creating protocols for maintaining and improving program offerings

  • Gathers data on student orientation and onboarding processes; analyzes data to improve the precision of trainings; prepares reports for the Academic Director.

  • Advises students regarding policies, procedures, and requirements for their undergraduate program(s) using data-driven analytics. This also includes interpreting policies as necessary for the students, and coordinating with faculty.

  • Works with undergraduate students on developing and tracking their 4-year program plan.

  • Performs regular checks of student coursework and degree progress.

  • Collects data on and performs final degree audit checks using University systems.

  • Calculates major GPAs for graduating seniors and recommends GPA cutoffs for degree distinctions. Manages Final Department Action List (FDAL) process.

  • Assignment to The Undergraduate Committee in the department to help implement insights. Has full voting rights on the committee.

Assessment & Accreditation

  • Collects data from alumni (undergraduate and graduate) to create and maintain a database for student outcomes. This requires independent data analysis, creating summaries, and making action plans.

  • Conducts alumni outreach, including developing a bi-annual newsletter, to maintain contact with students and to raise funds for pertinent departmental programs, and maintains a list of alumni donors.

  • Gathers data on students’ grades, clinical externship and internship completion and evaluation records, outcomes (e.g., career placement, licensure), and all other requirements needed and accomplished. This also requires summarizing data for students’ applications.

  • Works with the Undergraduate Committee and the Office for Educational Effectiveness to manage the department’s collection of Program Learning Outcomes (PLOs) data.

  • Assists in preparation of self-studies for reaccreditation.

Other duties as assigned

  • Supports graduate students and responds to prospective student inquiries. Assists with graduate admissions interview weekend and campus visits as needed.

  • Makes revisions to course information in University publications.

  • Independently performs feasibility and assessment studies. This requires extensive data collection, analysis, and summary.

QUALIFICATIONS:

  • Bachelor’s degree required (B.A., B.S.).

  • At least 3 years of related work experience in an academic office or an equivalent combination of experience and training.

  • Possess excellent organization, time-management, and interpersonal skills, and the ability to work on numerous projects simultaneously required.

  • Have strong word processing, database management, and spreadsheet creation skills required.

  • Strong communication skills required.

Pay Range

Pay Range: $50,752 - $71,053 Annually

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
